STAKEHOLDER GRIEVANCE AND WHISTLEBLOWER PROTECTION POLICY

1. Purpose and Commitment

At Cabana Séguin Inc., we believe that transparency, ethics, and accountability toward society and the environment are the pillars of sound business practices. In accordance with the high standards of the B Corp movement, this policy aims to provide all our stakeholders — staff members, freelancers, suppliers, clients, and the general public — with a safe, confidential, and effective mechanism to report any concerns or wrongdoing related to our operations or our value chain.

2. Scope and Grounds for Reporting

This policy applies to all activities of Cabana Séguin Inc., including our relationships with our subcontractors and clients. Eligible reports include, but are not limited to:

•    Ethical breaches (fraud, corruption, conflicts of interest).
•    Environmental violations or unsustainable practices on our part or by key business partners.
•    Behaviour contrary to human rights, harassment, or discrimination in the workplace.
•    Breaches of data security or privacy.

3. Reporting Mechanism (How to Submit)

Any internal or external stakeholder can submit a report in one of two ways:

By email: By writing to the secure address [email protected]. This channel is managed exclusively by the Executive and Human Resources team.

Through our online form: By filling out the form that allows you to remain anonymous if you wish to do so.

To facilitate the investigation, respondents are encouraged to provide as many verifiable details as possible (dates, facts, nature of the incidents).

4. Handling Process and Timelines

Cabana Séguin Inc. is committed to handling each report fairly and rigorously according to the following steps:

•    Acknowledgment of receipt: An acknowledgment of receipt will be sent to the author of the report (if the process is not anonymous) within 5 business days.
•    Initial assessment: An analysis will be conducted to determine if the complaint falls within the scope of this policy.
•    Investigation: If the report is well founded, an impartial internal investigation will be conducted. We aim to close the investigation and determine corrective measures within a maximum of 45 days following receipt.
•    Follow-up: The author of the report will be informed of the investigation's conclusions, in compliance with legal confidentiality constraints.

5. Strict Protection Against Retaliation (Whistleblower Protection)

Cabana Séguin Inc. strictly prohibits any form of retaliation (dismissal, demotion, harassment, discrimination, or abusive breach of contract) against any person who has reported a real or suspected violation in good faith. Any attempt at retaliation by a team member will be treated as serious misconduct and will lead to disciplinary action up to and including dismissal.

6. Business Relations and Client Management

As part of our commitment to limiting negative impacts in sensitive industries, Cabana Séguin Inc. explicitly reserves the right to reassess, suspend, or terminate a business relationship with any client or supplier if a valid report demonstrates that this relationship contributes directly to major unresolved ethical or environmental abuses.
